Cannot ” pay off “our loan via phone

we have pd our car loan ahead of schedule via phone. When able to pay off the loan...we could not talk to anyone..we had to hit #..to have a letter sent..which increases our days to pay and increases interest...that upset me!!!@ User's recommendation: check on pay off rules.
